Introduction
Trained2care collects personal data about employees, clients, suppliers, and others to support our business. This policy explains how we protect that data and the rules staff must follow when handling it. Before starting any major new data use, staff must consult the Data Protection Officer (DPO).

Personal data includes details like names, contact info, job history, financial info, and other identifiable information. Sensitive data includes things like race, religion, health, and criminal records, which require extra care.

All staff must know and follow this policy. Updates will be shared as needed.

Responsibilities

  • The DPO (Adrian) oversees the policy and ensures it is followed.
  • The IT Manager handles data security.
  • The Marketing Manager makes sure marketing respects data rules.

How we handle data

  • We collect and use personal data fairly and only for clear business reasons.
  • We keep data accurate and up to date.
  • Data is kept only as long as necessary.
  • We protect data from unauthorized access, loss, or damage.

Data security

  • Paper data must be stored securely and shredded when no longer needed.
  • Digital data must be protected with passwords and security measures.
  • Cloud storage must be approved by the DPO.
  • Data should not be stored on mobile devices without proper protection.

Data sharing and transfers

  • Personal data should not be sent outside the UK without DPO approval.

Individual rights

  • People can ask to see their data, correct mistakes, or ask for data to be deleted.
  • Individuals can say no to direct marketing.
  • Data subjects can request their data in a portable format.

Training
All staff receive regular training on data protection.

Reporting problems
Staff must report any data breaches or risks immediately to help us fix issues and meet legal requirements.

Consequences
Not following this policy can lead to disciplinary action, including dismissal.
